What we collect
Information you give us
Enquiry forms: your name, email address, subject, the service you are interested in, training event date, event budget (on some forms) and your message.
Store orders: your name, email address, billing and shipping addresses, phone number (optional) and order details. If you create a customer account, we also hold your login details.
Marketing choices: whether you opt in to marketing emails at checkout (the box is not pre-ticked).
Anything else you send us by email, phone or social media.
Information collected automatically
Device and usage information: your IP address, browser and device type, pages visited, how you found our site and your approximate location, collected through cookies (see "Cookies").
Spam protection: our forms use Google reCAPTCHA, which reads device and interaction information to check you are not a bot.
Payment information. Card details go directly to our payment processor. We do not see or store your full card number.
How we use it
We use your information to:
reply to your enquiries and plan training you ask about;
process, deliver and support your orders, including sending order and shipping updates;
manage your customer account, if you have one;
send you marketing, but only if you have opted in, and you can unsubscribe at any time;
run, secure and improve our website, including preventing spam and fraud;
keep business, tax and accounting records, and meet our legal obligations.
Legal basis/consent
Namibia's Constitution (Article 13) protects the right to privacy. Namibia does not yet have a general data protection law in force; a Data Protection Bill is still going through the legislative process. We aim to follow recognised good practice in the meantime, and we will update this policy when new law takes effect.
We handle your information on these grounds:
Your consent, for example for marketing messages and non-essential cookies. You can withdraw your consent at any time.
To perform a contract with you, or to take steps you ask for before entering one, such as answering a training enquiry or completing an order.
Our legitimate interests in running and securing our business and website, where these are not outweighed by your rights.
Legal obligations, such as keeping financial records.
Sharing
We do not sell or rent your personal information. We share it only with:
Squarespace, which hosts our website, forms, store and analytics, and processes data on our behalf;
Payment processors, which handle payments under their own privacy policies;
Google, which provides the reCAPTCHA spam protection on our forms;
Delivery and courier providers, when needed to deliver your orders;
Professional advisers (such as accountants and lawyers), and authorities when the law requires it.
Our site links to our Instagram, X and LinkedIn pages. Those platforms have their own privacy policies, and we are not responsible for how they handle your information.
International transfers
Squarespace stores website data in the United States, and its service providers may process data in other countries, so your information will be stored and processed outside Namibia. Squarespace protects transferred data under its Data Processing Addendum and, for EU, UK and Swiss data, the EU-U.S. Data Privacy Framework and its UK and Swiss extensions. Our payment processor may also process data abroad.
Cookies
Cookies are small files that a website stores on your device. Our site uses:
Necessary cookies that Squarespace needs to run the site securely and to make the shopping cart, checkout and customer accounts work;
Analytics and performance cookies that show us how visitors use the site, such as traffic sources, the pages visited and abandoned carts.
You can block or delete cookies in your browser settings, but some parts of the site may stop working. If we enable a cookie banner, you will also be able to accept or decline non-essential cookies there. For a list of the cookies used, see Squarespace's guide "The cookies Squarespace uses".
Retention
We keep personal information only as long as we need it:
enquiries: 2 years after our last contact;
orders and financial records: 5 years, or longer if Namibian tax or company law requires it;
customer accounts: until you close your account, or after a long period of inactivity;
marketing lists: until you unsubscribe.
When we no longer need it, we delete it or make it anonymous.
Security
Our website uses encrypted (HTTPS) connections, Squarespace and our payment processors maintain their own safeguards, and we limit access to your information to the directors and staff who need it. No online system is completely secure. If a breach is likely to affect you, we will tell you and any relevant regulator where we are required to do so.
Your rights
You can ask us to:
tell you what personal information we hold about you and give you a copy;
correct information that is wrong or incomplete;
delete your information, unless we need to keep it by law;
stop sending you marketing (you can also use the unsubscribe link in any marketing email);
withdraw any consent you have given.
To make a request, email info@libertywalkgroup.com. We may need to confirm your identity first, and we aim to reply within 30 days.
International users. If you are in South Africa, the EU or the UK, your local laws (such as South Africa's Protection of Personal Information Act or the GDPR) may give you further rights in some cases, such as objecting to or restricting certain uses of your information, or receiving it in a portable format. You may also be able to complain to your local data protection authority (for example South Africa's Information Regulator or the UK Information Commissioner's Office). Please contact us first so we can try to help.
Children
Our website, store and training services are aimed at adults and professional organisations. We do not knowingly collect personal information from anyone under 18. If you think a child has sent us their information, please contact us and we will delete it.
Changes
We may update this policy from time to time. We will post changes here and update the "Last updated" date, and tell you about important changes by email or a notice on our site.
